Position Summary

The Executive Director is responsible for the overall operational management of the Collegium Internationale Neuro-Psychopharmacologicum (CINP), one of the world's leading international scientific organizations dedicated to neuropsychopharmacology and the development of treatments for brain and mental health disorders.

Working closely with the President, Treasurer, Executive Committee and Council, the Executive Director ensures the efficient day-to-day operation of the Association while supporting the implementation of CINP's strategic vision, scientific activities, educational programs, membership services, partnerships, and international congresses.

The Executive Director serves as the Association's chief operational officer and acts as the primary liaison among elected officers, members, committees, external partners, and service providers.

Detailed Key Responsibilities

CINP is entering an important new phase as it transitions from an outsourced association management model to an in-house management structure. During the initial transition period, the successful candidate will play a hands-on role in ensuring operational continuity, establishing robust internal processes and developing a thorough understanding of the Society's activities. As these foundations become established, the role is expected to evolve with increasing emphasis on strategic leadership, organisational development, partnerships, membership growth and advancing CINP's global impact.

1. Membership Administration

    • Ensure the effective administration, accuracy and ongoing development of the membership database.
    • Manage new memberships, renewals, resignations, and member records.
    • Administer annual membership dues and oversee the online payment system.
    • Respond to member inquiries and provide membership support.
    • Coordinate member communications.

2. Finance and Administration

    • Work closely with the Treasurer and designated accountant on day-to-day financial operations.
    • Prepare annual budgets with the Treasurer.
    • Monitor revenues, expenditures, and cash flow.
    • Coordinate annual financial reports and audits.
    • Supervise invoices and payments’ processes.
    • Supervise contracts, vendor relationships, and administrative documentation.
    • Work with designated legal counsel when required.

3. Governance and Meetings

    • Organize meetings of the Executive Committee, Council, General Assembly, Global Network Committees (GNCs), and other committees.
    • Ensure the effective planning, documentation and follow-up of governance meetings.
    • Maintain the annual governance calendar.
    • Coordinate elections and committee appointments.
    • Ensure compliance with CINP bylaws and governance policies.

4. Scientific and Educational Operations

  • Assist the Executive Committee in coordinating webinars, educational courses, workshops, and Global Network Committee activities.
  • Coordinate awards, fellowships, travel grants, and prize applications.
  • Collect applications, distribute them to review committees, and compile relevant statistics.
  • Support Scientific Committees in planning and implementing their activities.

5. Congress Management

  • Coordinate the operational planning of the biennial World Congress with Professional Congress Organizers (PCOs) and/or Local Organizing Committees.
  • Monitor congress timelines, contracts, budgets, and deliverables.
  • Support scientific planning in collaboration with the Scientific Program Committee.
  • Ensure operational and organizational continuity between congresses.

6. Communications and Publications

    • Develop and support a year-round communications strategy that strengthens member engagement, promotes CINP's scientific and educational activities, enhances international visibility, and supports partnerships and organisational growth.
    • Coordinate newsletters (approximately four per year) with the President and Executive Committee.
    • Liaise with social media and communications specialists.
    • Ensure the timely delivery of website content, member communications and digital engagement activities.
    • Promote CINP activities through newsletters, social media, and digital communications.
    • Maintain consistent organizational branding and messaging.

7. Office and Association Management

    • Oversee the daily operations of CINP.
    • Supervise administrative staff and external contractors.
    • Develop and maintain operational procedures.
    • Maintain institutional records and documentation.
    • Monitor organizational performance and recommend operational improvements.

B. Strategic Activities (Leadership and Development)

8. Strategic Planning

    • Assist the President and Executive Committee in implementing CINP's Strategic Plan.
    • Develop operational plans supporting CINP's long-term growth and sustainability.
    • Define milestones and annual objectives for 2027–2028 and beyond.
    • Help establish Key Performance Indicators (KPIs) and support organizational reviews every three years.
    • Monitor progress toward strategic objectives and prepare performance reports.

9. Development

Qualifications

    • University degree; graduate degree preferred or equivalent experience
    • Experience managing an international scientific or professional association, nonprofit organization, academic organization, or private-sector organization/company.
    • Excellent organizational and project management skills.
    • Experience coordinating international meetings and scientific events.
    • Financial and budget management skills.
    • Excellent written and verbal communication skills in English.
    • Ability to work effectively with international and multidisciplinary teams.
    • Experience with membership databases, CRM systems, online payment systems, and virtual meeting platforms is desirable.
    • Knowledge of nonprofit governance is highly desirable.

Reporting

The Executive Director reports directly to the President of CINP and works closely with the Executive Committee, Treasurer, Council, committee chairs, and external partners.

Mission

The Executive Director plays a central role in ensuring that CINP operates as a dynamic, innovative, financially sustainable, and globally connected scientific organization dedicated to advancing neuropsychopharmacology, education, research, and brain and mental health worldwide.

Starting date

January 1st, 2027

Employment terms

0.8–1.0 FTE (4–5 days/week). One-year renewable contract, remote, with flexible contractual arrangements depending on the candidate’s country of residence.

Salary

Salary will be commensurate with experience and level of commitment, with the possibility of a performance-based bonus linked to agreed Key Performance Indicators (KPIs).

Location

The position is remote, with the flexibility required to work online with colleagues and partners across international time zones.

The Executive Director will be expected to participate in the annual in-person meeting with the President and Executive Committee, as well as other selected CINP meetings or international congresses when required.
